Family Task Management

The family uses Apple Reminders for shared tasks. Matt uses additional personal tools for his own work.

How We Have It Set Up

Apple Reminders — Family Coordination

Apple Reminders is the family-facing task tool. It's built into all Apple devices and works without any extra apps or accounts.

Shared Lists:

  • Groceries: The main shared list. Anyone can add items, anyone can check them off at the store.
  • Other shared lists may be added as needed

Shared lists are shared via iCloud — each family member needs to accept the sharing invite once. After that, changes appear on all family devices in real time.

Todoist — Matt's Personal Tasks (Not Family-Facing)

Matt uses Todoist to manage his personal task backlog, projects, and GTD-style capture. This is Matt's personal system — family members don't need to use or access it.

If you need to give Matt a task or reminder, just text him or add it to the family group chat. He'll capture it in Todoist himself.

TickTick — Matt's Work Tasks

Matt's work tasks sync into TickTick automatically from his work platform. This is work-only — completely separate from family task management.

How to Use Reminders

Viewing the Groceries List

On iPhone/iPad:

  1. Open Reminders app
  2. Tap Groceries in the list

On Mac:

  1. Open Reminders app
  2. Click Groceries in the sidebar

Adding an Item

  1. Open the Groceries list
  2. Tap the + or click Add Reminder at the bottom
  3. Type the item
  4. Hit return/enter

Tip: You can also say to Siri: "Add milk to the Groceries list"

Checking Off Items (at the store)

Tap the circle next to each item as you pick it up. Checked items move to the bottom and can be cleared after shopping.

Creating a New Reminder (personal, not shared)

Just add it to your personal Reminders list (not the shared Groceries list). It stays on your device only unless you explicitly share it.

Device Access

iPhone/iPad

  • Reminders app (built-in, blue checkmark icon)
  • Siri: "Remind me to..." or "Add [item] to Groceries list"

Mac

  • Reminders app in Applications

Apple Watch

  • View and check off reminders from your wrist

Troubleshooting

Groceries List Not Showing

The Groceries list is shared via iCloud. If it's not showing:

  1. Check that you accepted the sharing invite (look for an email or iCloud notification)
  2. Open Settings → [your name] → iCloud and confirm Reminders is toggled on
  3. Text Matt to re-send the sharing invite if needed

Item Added but Not Appearing on Other Devices

  1. Wait a moment — sync usually happens within a few seconds
  2. Pull down to refresh in the Reminders app
  3. Check internet connection
